The Dermatology Collective (“TDC,” “we,” “us,” or “our”) operates this website at thedermatologycollective.com. This Privacy Policy explains what information we collect through the website, how we use it, and the choices you have.

This policy covers only the website. Information collected during in-person visits, telehealth appointments, or clinical care is governed by our separate Notice of Privacy Practices under the Health Insurance Portability and Accountability Act of 1996 (HIPAA), which you can request at the front desk or by calling 626-240-2020.

Important: Do Not Share Protected Health Information

The web forms on this site (waitlist, pop-up appointment request, medical and cosmetic appointment inquiry) are not a secure or HIPAA-compliant channel for sharing detailed medical information. Please only share the minimum information needed to schedule a visit — for example, “skin check,” “acne consultation,” or “cosmetic consultation.” Do not include detailed health history, prescription details, photos of sensitive conditions, insurance card images, or other Protected Health Information through the website. We will collect any necessary clinical detail securely at your appointment or by phone.

Information you provide directly

When you submit a form on this site, we collect the fields you enter — typically your name, email address, phone number, and a short free-text description of why you'd like to be seen or which location/services you're interested in.

Information collected automatically

Like most websites, our hosting provider and our analytics tools automatically collect basic technical information when you visit — for example, your IP address, browser type, device type, the pages you view, and the referring site. This information is used to keep the site working, prevent abuse, and understand aggregate site usage. We do not use this data to identify you personally.

How We Use Information

  • Respond to your appointment, waitlist, or pop-up event request
  • Contact you by phone, text, or email about your inquiry
  • Notify you when our Beverly Hills location opens (if you joined the waitlist)

How Information Is Shared

We share information only with trusted service providers who help us run the website and respond to your inquiry. These currently include:

  • Vercel — hosts the website and delivers pages to your browser
  • Resend — delivers form submissions to our practice inbox
  • Google Fonts — serves the typefaces used on the site

Booking, membership, and financing actions take place on third-party platforms that have their own privacy policies:

  • Klara (esthetician booking)
  • TapMango (memberships)
  • PatientFi (financing)

When you click a link to one of these services, you leave our site and any information you provide is handled under that service's own privacy policy.

We may also disclose information when required by law, to respond to a valid legal process, or to protect the rights, property, or safety of TDC, our patients, or others.

Cookies and Analytics

We use minimal first-party analytics (Vercel Analytics and Vercel Speed Insights) to understand which pages are visited and how the site performs. These tools do not use third-party advertising cookies and do not track you across other websites.

You can disable cookies in your browser. The site will still work, though some preferences may not be remembered between visits.

Data Retention

We retain website form submissions for as long as needed to respond to your inquiry and for our routine business records, after which they are deleted from our email systems. Waitlist contact details are kept until our Beverly Hills location opens, after which we will either remove them or, with your consent, add them to our regular practice contact list.

Your Choices

You may ask us at any time to confirm what information we hold about you, correct it, or delete it. To do so, contact us using the details below. If you joined the waitlist or another email list, you can unsubscribe at any time by replying to any of our emails or contacting us directly.

Residents of California, Colorado, Virginia, and other US states with comprehensive privacy laws have additional rights under those laws (including the right to know what personal information we collect, the right to delete, and the right to non-discrimination for exercising those rights). Children

This website is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the website. Pediatric dermatology visits are scheduled by a parent or legal guardian.

Security

We use industry-standard technical and organizational measures to protect the information collected through the website. No internet-based service is ever completely secure, however, so we cannot guarantee absolute security — please use the website accordingly and avoid submitting sensitive health information through web forms.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we'll change the “Last updated” date at the top of this page. If we make material changes, we'll provide more prominent notice on the website.
